IT Director on Call

Senior IT leadership — without the full-time cost.

Most small businesses and charities don't need a full-time IT Director. But they do need someone who can think strategically about technology, keep security and governance in order, and make sure the tools they're paying for are actually working for them.

What this looks like in practice

You get a named person — me — who takes responsibility for your technology direction. Not a helpdesk. Not a one-off project. An ongoing relationship with someone who knows your organisation, understands your goals, and is accountable for making sure your Microsoft 365 environment is secure, well-governed, and working the way it should.

I work with you at director level. That means I can sit in leadership meetings, contribute to board discussions about technology risk, and work alongside your other directors as a peer — not as a supplier who can be ignored.

For organisations that have internal IT staff or someone who's drifted into an IT role, I can also mentor and support that person — building their capability while providing the senior oversight your organisation needs.

A note on authority

Technology change in a small organisation often stalls not because the problems are hard to fix, but because nobody has the authority to make the decisions stick.

IT Director on Call changes that dynamic. When I'm working with your organisation in that capacity, I'm not a consultant offering recommendations you can choose to ignore. I'm part of your leadership team, with a defined remit and accountability for outcomes.

That's the difference between a report that sits on a shelf and change that actually happens.

Your IT provider keeps the lights on. I make sure the platform works for your business.

If you already have an IT support company or someone internally who keeps the infrastructure running, I work with them — not instead of them.

Their job is to keep the servers running, the laptops provisioned, and the platform available. My job is different — I focus on how your organisation uses that platform. How work flows. How Microsoft 365 is configured for the way your team actually operates. Whether your security and governance posture is where it needs to be.

Where your IT provider and I need to work together, I handle that relationship on your behalf. You shouldn't have to be the translator between two technical conversations.

In practice that means

  • I recommend changes and improvements — your IT provider implements anything that needs admin-level access
  • I attend leadership and board conversations as your technology voice, translating between what IT tell you and what it means for the business
  • I work at the application layer — Teams, SharePoint, OneDrive, Exchange — the same layer your team works at every day
  • I never hold infrastructure-level admin keys to your environment

The result is a cleaner structure. Your IT provider handles the platform. I handle the strategy and the way of working. No overlap, no conflict — and no finger-pointing when something goes wrong.

How you'll know it's working

Time returned to your team

Just as Lean thinking transformed manufacturing by removing waste from production lines, the same principle applies to how knowledge work flows. We identify where your team's time is being lost — and redesign those processes so it isn't. If five people each get 10 hours a month back from a recurring task, that's 600 hours a year. That's real.

Faster, cleaner decision making

When information is where people expect it, when processes move without chasing, and when your Microsoft 365 environment reflects how your organisation actually works — decisions get made in meetings rather than deferred. That's not a metric. But you'll feel it within weeks.

A monthly picture, not a one-off report

Every month you get a written summary of what's changed, what's improved, and what's next. Over time that builds into a clear record of progress — useful for your board, your funders, or simply for your own confidence that the investment is moving in the right direction.

Security and governance you can evidence

As your IT Director on Call, I track your security posture over time. If you face a regulatory audit, an insurance renewal, or a due diligence process, you'll have a documented record of a well-governed Microsoft 365 environment — not a scramble to find evidence after the fact.

"We can lead, coach, and design the right way of working. But the desire to change has to come from the top. Every transformation we've seen succeed has had visible leadership behind it. Every one that stalled didn't. That's not a caveat — it's the most important thing we know about making this work."

What this means for your engagement

Before we start, we'll agree with you what good looks like — which processes we're targeting, what the current pain is, and what success feels like in practice. That gives us both something concrete to measure progress against, and gives you confidence that the retainer is delivering.

What's included

Everything your organisation needs — nothing it doesn't.

Every engagement is different, but a typical IT Director on Call arrangement covers:

Monthly tenant review

Security, licensing, and governance — checked every month so nothing drifts and problems don't build up unnoticed.

One meaningful improvement every month

Working through findings, building better processes, reducing risk — steadily and systematically.

Available by email and Teams

Questions and decisions as they arise — you have a senior technology resource available when you need one.

Quarterly written summary

What's changed, what's next, what the risks are — in plain English, suitable for sharing with your board.

Leadership and board attendance

Where technology is on the agenda, I can attend as your IT Director — contributing at peer level with your other directors.

Internal staff mentoring

Where you have someone in an IT role who needs support and development, I work alongside them — building capability from within.

Who this is for

This service works best for organisations that:

  • Have between 10 and 100 staff on Microsoft 365

  • Don't have a dedicated IT Director or senior technology lead

  • Have had a Health Check and know what needs fixing — and want someone to own that process

  • Are growing, changing, or facing increased scrutiny on security and data governance

  • Have tried to make changes internally and found that without director-level authority, things don't move

How it starts

Most IT Director on Call engagements begin with an M365 Health Check. That gives us both a clear picture of where things stand — and a ready-made list of priorities to work through together.

If you've already had a Health Check elsewhere, or you have a clear sense of what needs doing, we can start from there instead.

Either way, the first step is a free 20-minute conversation to understand your organisation and whether this is the right fit.
